Sponsors Briefing
Will there be a sponsor’s briefing?
We will try to hold one asap. @suzaidee and @arilazam are in charge of sponsors and will try to arrange for the best time. We will try to get it recorded so that you can still view the recording if you can’t make it.
Ticket
Do we need to purchase an extra ticket if we want an extra staff to be station at the booth?
Yes. The complimentary ticket(s) covers your entrance to the event, be it for staffing the booth or entering the halls, you will need additional tickets.
Do we get a discount if we would like to purchase some regular tickets for our team members?
No, as regular tickets are already discounted (the average cost per ticket is RM 100/pax), we won’t be able to offer you discounts.
Welcome Dinner (for organizers, speakers, sponsors & volunteers)
It’ll be at Terazza Brasserie Restaurant (Inside Dorsett Grand Subang Hotel) – 6th December 2025, 6:30pm onwards.

How many allocated seats do you have for the dinner?
It depends on your sponsorship tier. Gold Tier gives you three seats, Silver (two), Bronze (one), Iron (one), Microsponsor (one), Media Partner (one).
Can you bring a plus one for the dinner?
Unfortunately not, as space is limited.
Can you bring additional staff for the dinner?
You can’t . But you can tentatively request to purchase a social event (aka Welcome Dinner) seat. This is on a first-come-first-served basis and not guaranteed as space is limited. Though, you can buy additional micro-sponsor tickets under your staff name.
What happens if I bring a guest and do not have a social event ticket for that guest?
Please don’t do so. We will have a name list at the restaurant and you will need to sign in before joining the dinner. We would prefer not to reject your guest(s), so kindly follow your given seats based on your complimentary tickets.
Booth
Can we have more people at our table?
Yes, you can, but you need to purchase a ticket for them. As the tables are 6 ft by 2.5 ft, we can fit in an additional chair for Silver and Gold Tier sponsors. You might want to buy more tickets based on your sponsorship tier.

What is the booth size?
It depends on your sponsorship tier. Gold sponsors get two 6ft by 2.5ft tables, covered on all three sides with a table cloth. Silver gets one 6ft by 2.5ft table. Bronze gets half a table as they will share space with another bronze sponsor. We will provide black color table cloths for the sponsor tables. But, you can also bring your own table cloth if you want it in your brand colors.

Can we have more staff that will stand around the booth (as seats are limited)?
Yes you can. It will help with the demos, but do ensure that you give the attendees space to participate and engage with your brand.
Can I do a giveaway or contest?
Yes you can. However, only Gold Tier sponsors will be given the opportunity to announce their winners on stage before the closing ceremony.
What is the maximum or minimum value for the giveaway / contest?
There’s no minimum nor maximum value. You can giveaway stuff like T-Shirt, Mugs, Hosting, Plugins, etc. Try to giveaway something of value to the attendee. If you have a plugin or software, perhaps have a lifetime license as your main prize. If you do hosting, perhaps a free hosting or better, lifetime hosting for one of your shared hosting packages?
What can we bring?
Laptop, monitor, power cable, swag, promotional material, etc
What items are restricted?
You cannot sell any physical items at the event. Anything legally restricted is restricted at the event
Where will our tables be?
It’ll be at the sponsor area and along the hallway, depending on your sponsorship tier. The halls will not have any sponsor booths. This will ensure that you have better visibility with the attendees. Most attendees will come and talk to you in between sessions
Can we courier our merchandise a few days earlier to the event venue?
No. There won’t be any extra place to store your merchandise.
What is the booth setup time?
Starts from 6pm till 9pm on Saturday, 6th December. Kindly remember we also have the speakers/sponsor dinner at 6th of December. We will try to help out on sponsor booth setup with our volunteers.
Can I order an exhibition booth?
No, your booth should look the same as all booths in your tier, however, you can do a backdrop and place it behind your booth.
Can we put bunting in the hall?
Stand bunting can be place within your booth area.
The Gold Tier’s exhibitor 3 tickets & complimentary general admission tickets, are they the same?
All sponsors (Gold, Silver and Bronze) will get complimentary tickets. These are slightly different from the regular ticket as it also allows you to come for the Welcome Dinner.
So for example, if you are a Silver sponsor, you get two complimentary tickets. If you claim if for some Ah Chong and Ali, then Ah Chong and Ali can join the Welcome Dinner and also join the event and man the booth. They’ll also entitled for food and drinks throughout the event day (as our caterer will provide breakfast, tea and lunch)
Now, if you have another staff, Ah Kow and he don’t have a ticket. He can’t join the speakers dinner nor help out at your booth, even though he ‘tapau’ or packs his meals 🙂
He can help out your booth if you buy him a regular ticket, but he still can’t join the speakers dinner
Is power supply provided for the event?
Yes, but you need to bring your own extension cables – 5 meter or longer. The venue will provide 13 amp sockets near the sponsor tables.
Power sockets are 3 pin UK power sockets.

Parking Info

Sunway University provides ample parking facilities for visitors. Parking rates start at RM2.00 for the first 2 hours and RM1.00 for each subsequent hour, with a maximum charge of RM5.00 per entry. The parking payment system will accept Touch n Go or Sunway Pals only.
